Under general supervision, this position reports to the Assistant Director and provides a range of administrative and operational support for the Council of Accountability Court Judges (CACJ). In addition to providing special project assistance, meeting coordination, and providing support to the management teams, the position frequently interacts with Georgia judges, court professionals, partners and stakeholders, and national experts and requires independent judgment and exceptional customer service skills. This administrative coordinator will serve as the agencies first point of contact and defer calls and emails to the appropriate department. The position requires the ability to exercise various latitudes of independent judgment and maintain confidentiality in all aspects of client, staff, and agency information. The candidate will receive additional training, as required, to gain full proficiency and experience in all areas. Travel requirements include driving statewide with an occasional overnight stay to support the council. This is a hybrid position that requires in office and remote work with the approval of your supervisor. Your days of frequency in the office can change at any time during your employment based on the business needs of the organization.
· Serves as agency liaison with various agencies and the public. (AOC, CJCC, GBI, etc.)
· Manage office inventory and supply orders and coordinate with IT to manage staff equipment.
· Contacts public or private organizations to obtain information, screens incoming calls and emails in the general inbox.
· Manage work order request for office repairs and enhancements.
· Manage CAC J vehicles (calendar, maintenance, etc.) and the coordination of staff usage.
· Manages incoming mail and overseas agencies subscriptions and renewals.
· Maintain agency SharePoint site and calendars.
· Maintain records in accordance with agency policies and procedures, including maintaining office filing systems.
· Complete special projects as assigned by Executive Director and Assistant Directors.
· Provide administrative grant support to include the collection, organization, and preparation of fiscal year grant applications for committee review.
· Prepare letters and other correspondence to support the Executive Director and Assistant Directors.
· Process invoices for the agency, ensuring billing accuracy and monitoring payment and reconciliation.
· Serve as liaison to resolve payment discrepancies; submit monthly invoice status’ reports to Assistant Director.
· Submit purchase requisitions to AOC and CJCC to support the Council.
· Review and process travel reimbursements for Judges, faculty, and non-state employees. Keeps records of expense for annual reporting.
· Reserve and coordinate travel arrangements to support staff training and technical assistance activity when requested.
· Serve as agency concur travel point of contact and process concur travel reports for applicable staff.
· Serve as the agency vendor liaison by working with vendors/contractors to gather information related to projects. Also work with SAO to set up, update, and verify vendor accounts.
· May compile or participate in the development of budget data and related documents.
· Assist with committee meetings by preparing agenda packets, recording minutes, and managing attendance; additional committee duties include procuring meeting space, communicating information to attendees, and disseminating meeting materials.
· Oversee the production and delivery of all meeting materials including revised materials and ensuring the most up-to-date materials are available.
· Assist in large scale conference planning, including communication with attendees, tracking registration, logistics, and providing on-site support.
· Provide support for in person and virtual training, including registrations, and general on site or virtual support logistics as needed.
· Knowledge of or experience in Georgia court or criminal justice system.
· Knowledge of state of Georgia teamwork system and state of Georgia travel policies.
· Experience with Microsoft Office suite, Adobe Acrobat, zoom, Microsoft Teams. To include a strong skill set with Microsoft Excel and Adobe Acrobat.
· Excellent written and verbal communication skills ability to communicate concisely.
