Job Summary:

The Administrative Analyst is responsible for providing clerical services for Investigators, Clinical Evaluators, and Management so that legislatively guided risk classifications of registered sex offenders can be completed efficiently.

ESSENTIAL FUNCTIONS

Summarization of Criminal History – Review and transcribe each offender’s GCIC into a SORRB template. Identify and review sentencing sheets to verify accuracy and make any necessary changes. Merge the GCIC with the NCIC summary received by the Georgia Bureau of Investigation chronologically and review for errors or discrepancies. Identify and report to management those sex offenders with multiples sex offense arrests. 

Collection of Documentation – Search for documents utilized by SORRB Clinical Evaluators and combine the documents in an orderly fashion that is then uploaded to the SORRB database.

Data Entry – Enter data into the SORRB database as needed. This might include data points for future research, offender identification information, addresses, and document upload.

Processing Open Records Requests – Retrieve offender classification report and designation letter for requestors, documenting the request, and emailing the requested document(s).

Other – Assist administration with printing and mailing classification letters, searching for offender and stakeholder mailing addresses, taking inventory of office supplies, as well as other supportive duties.

Attending Meetings – Administrative Analysts attend meetings as instructed by supervisors and are typically held online, although some mandatory meetings are held at the SORRB office.

Attending Trainings - All new hires are required to attend a minimum of one week of in-person training. Training is used to provide the analyst with everything that is needed to provide necessary support to the staff for the efficient production of classifications. There is feedback monthly and then quarterly for the first year, which is a probationary period for employment in this position. Ongoing training, both in-office and online, is used to sharpen skills, reduce errors, and process optimization.

QUALIFICATIONS

Experience. – Basic knowledge of criminal justice procedures, data entry, and general clerical tasks.

Writing – researching accurate information, outlining for logical flow, and editing for clarity and conciseness.

Computer Knowledge – basic hardware operations to utilizing specialized software for productivity.

  • File management (includes creating, renaming, and organizing folders).
  • Word processing (includes creating and formatting text documents, adjusting margins, and using spelling/grammar tools using applications like Microsoft Word, PDF, Excel, and PowerPoint).
  • Email etiquette (includes responsivity to receiving emails, composing subject lines, attaching files, managing inboxes).
  • Video conferencing (includes joining or hosting online meetings, muting/unmuting, and sharing your screen).
  • Internet & Cybersecurity (including browser navigation using bookmarks and cybersecurity awareness by recognizing phishing attempts and use of secure passwords).
  • Hardware (includes touch typing with acceptable speed and accuracy).

Education – High School diploma and 2 years clerical experience. Law enforcement or related experience is preferred.
