Job Description

Pay Grade: G

Under general supervision, performs a wide range of office administration duties for assigned functions or program areas, duties may be complex in nature and may involve access to confidential information. May research, investigate, and/or resolve program data or issues. Drafts documentation, reports, or presentations. Represents program or unit, provides information and assistance to internal and external customers.

Role and Responsibilities:

  • Reports directly to the Director and provides administrative support to the TANF Unit.
  • Provides technical assistance and works to resolve program or client issues/questions.
  • Manages routine administrative functions for the unit, such as telecommunications, billing/credit, property control, etc.
  • Reviews program invoices for accuracy.
  • Develops and maintains a tracking system to assure prompt response to all correspondence.
  • Plans/schedules meetings and follow up with required action items.
  • Create reports and spreadsheets as requested by the TANF Director.
  • Assists with problem resolution to internal and external customers.
  • Ability to communicate effectively both orally and in writing and be able to establish and maintain effective working relationships.
  • Order supplies.
  • Processes incoming and outgoing mail.
  • Maintains record keeping and electronic filing system.
  • Proficiency with all current Microsoft Office programs as well as any other software programs, online communication platforms, office equipment, and other technology necessary to perform the job.
  • Maintains confidential records.
  • Performs job responsibilities with minimal supervision.
  • Performs other professional responsibilities as assigned.

Minimum Qualifications

  • High school diploma/GED and three (3) years of job-related experience.

OR

  • One (1) year of experience required at the lower-level Admin Assistant 1 (GST050) or position equivalent.


Preferred Qualifications: Preference will be given to candidates who, in addition to meeting the minimum qualifications, demonstrate some or all of the following skills/experience.

  • Four (4) years of administrative experience
  • Advanced proficiency with Microsoft Office programs:  Word, Excel, Access, SharePoint, and PowerPoint
