Location: East Central Regional Hospital – Gracewood Campus (Augusta, GA)

Schedule: Full-Time | 40 Hours per Week (Office-Based; No Field Travel Required)

Position Overview

The Georgia Department of Behavioral Health and Developmental Disabilities (DBHDD) is seeking an organized, customer-focused Dental Administrative Assistant to anchor office operations for our Mobile Dental Clinic practice.

Adults with intellectual and developmental disabilities (IDD) living in rural Georgia face significant barriers to oral healthcare—including long travel distances, financial constraints, and a shortage of specialized providers. The DBHDD Mobile Dental Clinic eliminates these hurdles by delivering daily on-site preventive, restorative, and surgical care to patients across 26 rural Region 2 counties.

While our clinical care team travels daily in the field, this vital role serves as the central operational hub at our Gracewood campus office. As the primary point of contact for families, day service center directors, and healthcare partners, you will manage scheduling, Medicaid/insurance verification, billing, and practice logistics—ensuring our clinical team can seamlessly deliver high-quality, life-changing care.

Key Responsibilities & Expectations

Patient Scheduling & Facility Coordination

  • Serve as the main front-office contact for patients, families, guardians, and facility staff—delivering warm, professional customer service.

  • Schedule patient appointments and coordinate travel itineraries and visit dates with regional IDD Day Service Centers and residential facilities.

  • Answer, log, and triage telephone and email inquiries promptly and accurately.

Insurance Verification & Billing Operations

  • Verify patient insurance coverage, Medicaid eligibility, and benefits prior to scheduled clinical visits.

  • Manage practice billing, payment processes, and claims tracking in accordance with state and agency guidelines.

  • Process incoming and outgoing office correspondence, including opening, sorting, and distributing mail.

Data Management & Practice Support

  • Perform precise data entry to maintain accurate electronic patient charts, billing files, and office records in full compliance with HIPAA and confidentiality standards.

  • Maintain organized administrative systems to track practice metrics and logistics.

  • Provide dynamic administrative support to the Lead Dentist and clinical team as assigned to ensure overall practice efficiency.

  • Communication: Excellent verbal and written communication skills suitable for interacting with diverse stakeholders, caregivers, and state administrators.

Minimum Qualifications:

High school diploma/GED and two (2) years of general office or administrative experience.
