Atlanta Technical College (ATC) is seeking highly qualified applicants for its Full-Time Administrative Assistant to the Vice President (Student Engagement) position within the Division of Student Engagement. This position is located at Atlanta Tech’s Main campus just south of Downtown Atlanta.
Under direct supervision of the Vice President of Student Engagement, the Full-Time Administrative Assistant to the Vice President (Student Engagement) has a broad set of administrative responsibilities, from supporting the Vice President directly to managing the day-to-day operations of the Student Engagement Division which includes the Center for Workforce Innovation, Student Success, Career Success Coaching, Retention and Special Initiatives. The Full-Time Administrative Assistant to the Vice President (Student Engagement) supports the Vice President in a variety of activities, such as in partner outreach and communications, and serves as a primary resource to other internal and external offices. The Full-Time Administrative Assistant to the Vice President (Student Engagement) represents the office and interacts daily with students, deans, administrators, parents, alumni, vendors, and outside callers and community visitors. Such communication will require thorough knowledge of the College, thorough knowledge of all details relating to all divisions and programs managed by the office as well as discretion, professionalism, and confidence in relaying information. The Full-Time Administrative Assistant to the Vice President (Student Engagement) must have the versatility to manage the Vice President’s calendar as well as a variety of special assignments as they arise.
JOB RESPONSIBILITIES:
- Perform administrative tasks and assignments which may include data analysis and reporting, drafting departmental presentations, budget expenditures, purchasing, procurement, etc.
- Manage and maintain office records, database, and files.
- Perform data entry, and compose reports, correspondence, meeting minutes, etc.
- Proofread and edit documents for content, context, accuracy, and consistency.
- Provide information and assistance for internal and external inquiries, including answering telephone calls, emails and greeting visitors.
- Schedule appointments, maintain calendars, coordinate meetings, travel and reimbursement for the Vice President.
- Monitor use of supplies, equipment and/ or facilities for the division.
- Assist with overall departmental administrative tasks (i.e. CWI, Student Success, etc.) and may be cross trained in various assignments related to the operation of the division.
- Participate in special projects and committees as directed by the Vice President; and
- Perform other duties, as assigned.
COMPETENCIES:
- Highly skilled in customer service, interpersonal relations and service to the public.
- Computer skills and knowledge of various platforms such as Microsoft 365, Salesforce, and data tracking tools.
- Works efficiently in a fast-paced environment with attention to detail.
- Strong verbal, oral, written communication, decision-making, problem-solving, basic conflict resolution, and organizational skills.
- Knowledge of modern office practices and procedures,
- Ability to operate workroom machinery such as copiers, scanners, shredders, etc.
MINIMUM QUALIFICATIONS:
Must possess and demonstrate an Associate’s degree in Business Administrative Technology from an accredited college or university AND two (2) years of work-related experience (Experience may substitute for the degree on a year-for-year basis).
PREFERRED QUALIFICATIONS:
Preference may be given to candidates who, in addition to meeting the minimum qualifications, possess and demonstrate any of the following:
- Bachelor’s degree or higher from an accredited college or university AND one (1) year of work-related experience.
- Experience using BANNER student information system.
- Two (2) or more years of work experience in an educational or business setting. (Experience may substitute for the degree on a year-for-year basis).
