Job Description:

Under general supervision and reporting directly to the Deputy Director of Organizational Training and Professional Development, this position provides administrative and technical support to a team of trainers, instructional designers and their managers.  Partners with other departments, divisions, outside agencies, and vendors to address business issues. Exercises various latitudes of independent judgment. Administers and provides high level support for various projects contracts, implementation of procedures, and/or any specialized functions. Assists with providing task guidance of team members. Processes requisitions and payments.



Role and Responsibilities: 

  • Generates, analyzes, and distributes LMS reports to track learner progress, course completions and participation rates to ensure data accuracy and relevance for stakeholders; develops and schedules recurring and ad hoc LMS reports to meet the information needs of leadership, auditors, and compliance teams.
  • Creates and updates user accounts in the learning management systems; tracks and maintains user account records and monitoring enrollment activity.
  • Administers and manages contracts throughout their lifecycle to ensure compliance with organizational policies;  coordinates with internal stakeholders and external vendors to mediate contract-related issues; maintains organized contract files and reporting systems to support audits, performance reviews, and decision-making processes.
  • Creates, submits, and manages requisitions for goods and services, ensuring accuracy, completeness, and compliance with organizational procurement policies; tracks and monitors status from initiation through purchase order issuance, resolving discrepancies and delays as needed; coordinates with internal stakeholders and purchasing teams to ensure timely processing.
  • Monitors and manages designated email inboxes, ensuring timely review, prioritization, and response to incoming messages in accordance with service standards; routes inquiries to appropriate team members, tracking follow-up actions to ensure resolution; maintains professional, accurate, and customer-focused communication in all email interactions; and, implements and follows communication protocols to ensure consistent handling of inquiries, requests, and escalations.
  • Processes and manages supply orders to ensure the availability of materials, equipment, and resources needed for departmental operations and training activities; coordinates with vendors and internal stakeholders to confirm order accuracy, delivery schedules, and quality of goods received.

Minimum Qualifications:

  • Associate degree in business or related field from an accredited college OR university AND two (2) years of experience related to area of assignment;

OR

  • One (1) year of experience required at the lower level Business Support Analyst 1 (GSP130).

--Note: An equivalent combination of knowledge, education, job or intern experience, training, or certifications that provides the necessary knowledge and skills to successfully perform the job at the level listed may be substituted year-over-year.

Preferred Skills/Qualifications : Preference will be given to candidates who, in addition to meeting the minimum qualifications, demonstrate some or all the following education/skills/experience:

  • Track record of providing quality superior customer service.
  • Intermediate to advanced LMS navigation and administration.
  • Intermediate to advanced Microsoft Excel and Word proficiency.
  • Experience managing and reporting complex data.
