Job Description:

Job Summary

The Enrollment Center Coordinator provides campus-level leadership, supervision, and operational oversight for assigned admissions and enrollment support staff. Reporting to the Director of Admissions, this position supervises Admissions Counselors, Student Affairs Assistants, Cashiers, and Receptionists; coordinates daily activities; and supports approved enrollment strategies that promote student access, enrollment, persistence, and completion.

This position ensures assigned staff provide timely, accurate, and student-centered service throughout the enrollment process. The Enrollment Center Coordinator monitors campus enrollment activities, supports staff performance and development, addresses operational and student service issues, and works with campus and College partners to promote an effective and seamless enrollment experience.

Essential Functions

Enrollment Center Operations & Student Services (55%)

• Coordinate daily admissions and enrollment activities for the assigned Enrollment Center, including application processing, document verification, New Student Orientation, student communications, and follow-up.

• Oversee campus admissions processing to ensure applications, documentation, and enrollment requirements are completed accurately and in a timely manner.

• Monitor incomplete applications, outstanding requirements, and enrollment barriers and ensure appropriate follow-up and resolution.

• Coordinate staffing and daily operations to meet student service needs, particularly during peak enrollment periods.

• Develop a campus recruitment plan aligned with WGTC enrollment goals and priorities for approval by the Director of Admissions.

• Build effective partnerships with campus departments and external partners to support recruitment, admissions, enrollment, and student success.

• Ensure a student-centered Enrollment Center by monitoring service quality, responsiveness, wait times, and issue resolutions.

• Ensure student information is handled confidentially and in accordance with college policies and applicable laws and regulations.

• Maintain current knowledge of admissions requirements, enrollment procedures, programs, deadlines, and related policies.

Staff Supervision & Development (30%)

• Supervise Admissions Counselors, Student Affairs Assistants, Receptionists, and Cashiers, including scheduling, hiring, onboarding, training, evaluation, coaching, and disciplinary actions in accordance with WGTC, local, and state policies and procedures.

• Assign and monitor workloads to ensure adequate staffing and timely, accurate completion of admissions and enrollment responsibilities.

• Monitor staff productivity, accuracy, responsiveness, attendance, customer service, and compliance.

• Complete annual employee evaluations and provide ongoing coaching, feedback, mentoring, and professional development.

• Identify training needs and coordinate appropriate staff development opportunities.

• Serve as the primary campus escalation point for complex student(s), employee relations, grievance, and performance concerns, coordinating with appropriate College offices to facilitate resolution, escalation, and follow up.

Strategic Planning, Data & Continuous Improvement (15%)

• Participate in College and Admissions strategic planning and support implementation of approved initiatives at the assigned campus.

• Monitor admissions and enrollment data, reports, and processing timelines to assess progress toward enrollment goals and identify areas requiring attention.

• Ensure accurate and timely documentation of admissions, recruitment, student contacts, and enrollment activities in designated College systems.

• Provide campus-level input on enrollment trends, student needs, recruitment opportunities, operational challenges, and process improvements.

• Communicate enrollment progress, challenges, and recommendations to the Director of Admissions.

• Collaborate with the Director of Admissions and College partners to address operational, compliance, and processing concerns.

• Participate in College, campus, department, and community events supporting recruitment, admissions, enrollment, and student success.

Perform other duties as assigned. (15%)

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment and technologies.

While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; talk or hear. The employee must occasionally lift or move office products and supplies, up to 25 pounds.

Position Type/Expected Hours of Work

This is a full-time position, mainly located on a specific campus. Days and hours of work will follow an established Monday through Friday schedule based on college and campus operating hours.

Travel

Travel to other campus locations is occasionally required, as needed. Overnight travel is not required except in rare instances of external professional development conferences, travel, or meetings.

Required Education and Experience

• Bachelor’s degree *and* two years of related work experience

• Note: Experience may substitute for the degree on a year-for-year basis

Preferred Education and Experience

• Master’s degree in a program related to higher education

• Three years of administrative and supervisory experience in a post-secondary institution, preferably in admissions, financial aid, or registrar’s office

• One year experience in a student information system such as Banner or another student data system

• Experience coordinating large recruitment events

• Demonstrated ability to coordinate customer service initiatives

• Demonstrated proficiency in written communication and public speaking
