Under general supervision, the Executive Assistant is responsible for providing confidential clerical support to the Deputy Commissioner for Safety Fire. This position focuses on high-level leadership functions and plays a vital role in supporting the day-to-day operations of the organization. This position serves as the agency’s Call Center liaison for vendor Refrain.
Assist in the preparation of reports, gathering and researching information, preparing presentations, coordinating meetings, copying, and filing, preparing notes, performing data entry, and other special projects as needed.
Assist in the administration and interpretation of policies and procedures for the organization and department.
Review incoming correspondences and forwards appropriately or, based on a knowledge of the recipient's views, may respond.
Manage information flow in a timely and accurate manner by maintaining an efficient and organized filing system, scans, copies, and faxes division documents, and handles incoming and outgoing mail.
Improve staff and external retention rates through active communication by screening telephone calls, email, and mail correspondence while initiating appropriate action/ response.
Assist and maintain calendars, and schedule meetings, appointments, interviews, and other activities.
Order and track office supplies and equipment.
Coordinate travel arrangements, accommodations, and conference registrations for Deputy Commissioner for Safety Fire.
Perform various clerical tasks utilizing knowledge of office systems and procedures such as composing, records, transcribe dictation, type, edit, and proofreads documents.
Research and follow up on inquiries that require more in-depth information and critical complex problem-solving.
Facilitate the meeting of deadlines by keeping multiple agendas and providing timely reminders.
Demonstrate ethical conduct and ensure confidentiality.
Serve as agency’s Call Center liaison for vendor Refrain.
Performs other duties as assigned.
Minimum Qualifications:
High School diploma/GED and two (2) years of professional-level job-related experience working in an administration-related field.Equal Employment Opportunity Employer
