Summary


The Claims Specialist is responsible for the timely, accurate, and compliant preparation, filing, and reconciliation of investors, insurers, and government claims (including FHA, VA, USDA, and other investor types). This role also supports property preservation efforts by ensuring properties are maintained, secured, and compliant throughout the default and post-foreclosure lifecycle. The ideal candidate is detail-oriented, deadline-driven, and knowledgeable in mortgage servicing, claims processes, and property preservation standards.

Minimum Eligibility Requirements

  • 2–5+ years of mortgage servicing experience, with a focus on claims, foreclosure, or default servicing
  • Strong knowledge of FHA, VA, USDA, and MI claim processes and guidelines
  • Experience with property preservation and vendor management preferred
  • Familiarity with service systems (e.g., MSP, FHA Connection, P260, vendor platforms)
  • Strong analytical, organizational, and problem-solving skills
  • Ability to manage multiple deadlines in a fast-paced environment
  • Excellent written and verbal communication skills

Preferred Skills

  • Experience with HUD conveyance claims (Parts A & B)
  • Knowledge of CAFMV/CWCOT processes and foreclosure timelines
  • Understanding of allowable vs. non-allowable expenses for claims reimbursement
  • Audit and compliance experience
  • Knowledge of Property Preservation guidelines

Key Responsibilities

Claims Administration

  • Prepare, review, and submit claims (FHA Part A & B, VA, USDA, MI, and investor-specific claims) within required timelines
  • Ensure accuracy of claim calculations, including principal, interest, advances, expenses, and recoverable costs
  • Monitor claim status, follow up on outstanding submissions, and resolve deficiencies or curtailments
  • Reconcile claim proceeds and ensure proper application of funds (suspense, investor reporting, etc.)
  • Review foreclosure, conveyance, and loss mitigation documentation to ensure claim eligibility and compliance
  • Coordinate with attorneys, vendors, and internal departments to obtain required documentation (e.g., deeds, title, invoices)
  • Maintain detailed records and audit-ready documentation for all claims filed
  • Stay current on investor and regulatory guidelines (HUD, FHA, VA, USDA, MI companies)

Compliance & Quality Control

  • Ensure adherence to all regulatory requirements, including HUD conveyance guidelines and investor-specific rules
  • Identify and mitigate risks related to claiming denials, curtailments, or penalties
  • Perform internal audits and quality checks on claims prior to submission
  • Assist in responding to internal and external audits, including documentation retrieval and explanations

 

Property Preservation Oversight

  • Coordinate and monitor property preservation activities, including securing, winterization, inspections, and maintenance
  • Ensure properties meet investor and insurer conveyance condition standards (e.g., HUD conveyance condition requirements)
  • Review and approve preservation invoices for accuracy and allowability
  • Monitor vendor performance and ensure timely completion of services
  • Address property issues such as damage, code violations, or hazards to protect asset value
  • Coordinate with vendors, field service companies, and attorneys on preservation timelines and requirements
  • Track and document preservation expenses for claim reimbursement eligibility

Collaboration & Communication

  • Partner with Foreclosure, Loss Mitigation, Escrow, and REO teams to ensure seamless claim processing
  • Communicate with investors, agencies, vendors, and internal stakeholders regarding claim and property status
  • Provide updates and reporting on claim volumes, timelines, and exceptions
  • Assist in process improvement initiatives to enhance efficiency and reduce claim errors

Working Conditions (travel, hours, environment)

  • This position is salaried.  Work hours are 8:00am - 5:00 pm on Monday-Friday with adjusted hours at mid-month and month-end per business needs.
  • No travel required
  • While performing the duties of this job, the employee will work primarily in a climate-controlled environment with minimal safety/health hazard potential

PHYSICAL / SENSORY REQUIREMENTS:

Work is principally stationary, but the person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc., and constantly operate a computer and other office equipment.

Must be able to remain in a stationary position 50% of the time.

Must be able to establish and maintain effective working relationships with employees, tenants, and community agencies and other entities that provide services.
