JOB SUMMARY
The Foundation Operations Manager is responsible for the daily operations of the SRTC Foundation, including scholarship administration, donor and gift management, financial coordination, and board support. This position serves as a liaison between the Foundation and its external partners and contributes to the achievement of the Foundation’s goals and objectives through efficient, accurate, and policy-compliant operations that support fundraising, stewardship, and student success initiatives.
MAJOR DUTIES
Scholarship Program Management
- Manages all aspects of the Foundation’s scholarship program, contributing toward defined program goals, award timelines, and student success outcomes;
- Administers the scholarship management platform, including portal setup, application tracking, reviewer coordination, award notifications, and ongoing system maintenance;
- Serves as the primary point of contact for scholarship applicants and recipients; manages recipient onboarding, ongoing student communication, and documentation requirements;
- Facilitates donor to student connections through thank-you correspondence, impact reports, and stewardship communications developed in coordination with the Executive Director;
- Maintains accurate scholarship records and database entries; generates reports on scholarship activity, award distribution, and fund balances as needed;
Gift Processing & Donor Communications
- Manages all gift acceptance functions including data entry into the constituent management system, receipt generation, and production of donor acknowledgment letters;
- Processes incoming checks, prepares bank deposits, and coordinates board-required check signings in accordance with Foundation policies and procedures;
- Drafts donor acknowledgment letters, scholarship impact reports, and routine stewardship communications for review and approval by the Executive Director;
- Maintains donor records in the constituent management system, ensuring accuracy of contact information, giving history, and communication logs;
- Produces annual donor reports and giving summaries according to established timelines;
Financial Coordination & Accounting Liaison
- Manages the day-to-day relationship with the Foundation’s external accounting firm, ensuring the timely and accurate flow of financial documentation, gift records, disbursement requests, and supporting materials;
- Manages scholarship disbursements and approved Foundation expenditures;
- Navigates QuickBooks to review transactions, pull reports, and respond to accounting firm requests;
Board Meeting Coordination
- Prepares board meeting materials including agendas, meeting packets, financial summaries, and action item tracking in coordination with the Executive Director;
- Records and prepares accurate minutes for all board and committee meetings, and distributes materials to board members in a timely manner;
- Coordinates routine board communications as directed by the Executive Director;
Event Coordination & Support
- Facilitates event logistics for all Foundation events under the direction of the Executive Director;
- Oversees coordination of venue contracts, vendor communication, catering, volunteer scheduling, and check-in systems;
- Manages day-of event execution, setup, and breakdown; serves as the primary on-site point of contact for logistics needs;
- Manages sponsorship fulfillment, recognition materials, and post-event reporting as directed by the Executive Director;
- Participates in assessment, planning, budgeting, and staff development activities; and
- Performs other duties as assigned.
COMPETENCIES
- Skill in the use of computers and job-related software including database or records management systems, financial platforms, and Microsoft Office Suite or comparable programs
- Ability to plan and organize complex projects with competing priorities effectively
- Skill in oral and written communication
- Skill in interpersonal relations and effective problem solving with a variety of internal and external stakeholders

MINIMUM QUALIFICATIONS
- Bachelor’s degree *OR* Five (5) years of experience in a related field
PREFERRED QUALIFICATIONS
In addition to the minimum qualifications:
- Bachelor’s degree in business administration, nonprofit management, communications, or a related field
- Experience in scholarship administration, donor relations, or nonprofit operations
- Experience with scholarship management platforms and/or constituent management systems
- Experience navigating QuickBooks or comparable financial platforms
- Experience coordinating events, board meetings, or program logistics
