Responsibilities

Pathways Center is a comprehensive behavioral healthcare organization serving children, adolescents, adults, and families throughout the west Georgia region. The organization provides a broad continuum of services designed to support individuals with mental health needs, intellectual and developmental disabilities, and addictive diseases.

Pathways Center delivers services through a variety of treatment and support settings, including outpatient clinics, community-based programs, long-term group treatment programs, 24-hour short-term inpatient/residential facilities, and 24-hour long-term residential programs. Because services are provided across multiple programs, locations, and levels of care, Pathways Center relies on a diverse workforce of clinical, direct-care, administrative, professional, and support employees who work together to meet the needs of the individuals and communities the organization serves.

The Human Resources Department supports this workforce by providing responsive and consistent human resources services throughout the employee life cycle. The department partners with leadership, supervisors, and employees throughout Pathways Center to support effective recruitment and onboarding, employee development, workforce planning, policy implementation, employee relations, compliance, and retention.

The Human Resources Specialist is a member of the Pathways Center Human Resources team and provides comprehensive human resources support to employees, supervisors, hiring managers, and organizational leadership. Based in Newnan, Georgia, this position supports multiple business divisions, programs, and locations throughout the organization.

The position serves as a resource for both applicants and current employees and assists with a variety of human resources functions, including talent acquisition, onboarding, employee training and development, HRIS and applicant tracking system administration, employee records, position management, employee relations support, policy administration, regulatory compliance, and general HR customer service.

Job duties include but are not limited to the following:

Talent Acquisition and Recruitment

  • Partner with hiring managers to identify current and anticipated staffing needs and develop appropriate recruitment strategies for vacant and newly created positions.
  • Consult with hiring managers regarding job requirements, qualifications, scheduling needs, recruitment challenges, and candidate sourcing strategies.
  • Create job requisitions for replacement positions and newly approved positions and route requisitions through the appropriate approval process before posting.
  • Prepare, review, and post job opportunities through the organization's Applicant Tracking System (ATS) and other approved recruitment sources.
  • Review applications and resumes to identify candidates whose experience and qualifications meet established job requirements.
  • Conduct telephone, virtual, or other preliminary applicant screenings to evaluate candidate qualifications, availability, interest, and general suitability for available positions.
  • Coordinate interviews between qualified candidates and hiring managers.
  • Assist hiring managers with structured interviewing practices, candidate evaluation, and consistent selection procedures.
  • Coordinate and facilitate realistic job previews when appropriate so candidates understand essential job responsibilities, schedules, work environments, and position expectations.
  • Maintain timely communication with applicants throughout the recruitment and selection process.
  • Conduct or coordinate employment reference checks for selected candidates.
  • Prepare employment offer documentation and submit offers for required review and approval.
  • Extend approved employment offers to selected candidates and communicate applicable employment conditions and pre-employment requirements.
  • Coordinate candidate start dates with hiring managers, Human Resources team members, and other appropriate departments.
  • Maintain appropriate recruitment and selection documentation in accordance with organizational procedures and applicable record-retention requirements.
  • Monitor the status of open requisitions and follow up with hiring managers regarding positions requiring additional recruitment attention.
  • Assist with recruitment reporting, including vacancies, applicant activity, time-to-fill, hiring activity, and other workforce metrics as requested.
  • Participate in job fairs, career fairs, educational partnerships, community events, and other recruitment activities to promote Pathways Center employment opportunities.

New Employee Onboarding

  • Help with coordinating Human Resources components of the onboarding process for newly hired employees.
  • Communicate onboarding requirements, schedules, required documentation, and first-day expectations to new employees.
  • Ensure required employment documentation is completed accurately and within established timelines.
  • Coordinate with Human Resources team members, supervisors, and other departments to support an organized transition from candidate to employee.
  • Monitor completion of required onboarding activities and follow up on incomplete documentation or training requirements.
  • Assist new employees and supervisors with questions arising during the introductory employment period.

Training and Employee Development

  • Help with facilitating new employee orientation and other employee training programs as assigned.
  • Assist with annual and recurring training requirements applicable to Pathways Center employees.
  • Help with coordinating training schedules, participant communications, training materials, attendance documentation, and completion records.
  • Support the development and maintenance of Human Resources training materials, presentations, guides, and reference resources.
  • Assist supervisors and employees with identifying required Human Resources-related training.
  • Help track completion of assigned Human Resources training and follow up regarding outstanding requirements when appropriate.

Support

  • Serve as an accessible resource for employees and supervisors seeking information regarding Human Resources procedures, policies, and employment-related processes.
  • Respond to routine employee questions and refer complex or sensitive matters to the appropriate Human Resources leader when necessary.
  • Support consistent application and communication of organizational Human Resources policies and procedures.
  • Assist with employee engagement, recognition, retention, and workplace-culture initiatives.
  • Maintain a professional, responsive, and service-oriented approach when working with employees at all levels of the organization.

Employee Records, Documentation, and Compliance

  • Maintain the confidentiality and security of employee, applicant, medical, compensation, and other sensitive Human Resources information at all times.
  • File and retain interview and applicant documentation in accordance with applicable federal guidelines and organizational procedures.
  • Assist with periodic audits.
  • Assist with responding to internal requests for Human Resources records and information while maintaining appropriate confidentiality.
  • Escalate potential compliance concerns or policy inconsistencies to Human Resources leadership.

Department and Team Responsibilities

  • Serve as an active member of the Human Resources team and provide support to other team members as business needs require.
  • Attend Human Resources staff meetings and provide updates regarding recruitment activity, onboarding, training, assigned projects, vacancies, and other areas of responsibility.
  • Participate in departmental and organizational meetings, committees, workgroups, and special projects as assigned.
  • Provide coverage or assistance for Human Resources functions during periods of increased workload or staff absence.
  • Share relevant information and collaborate with Human Resources colleagues to ensure continuity of service.
  • Maintain professional knowledge of Human Resources practices through training, professional development, and review of relevant employment-related information.
  • Perform other Human Resources duties and special assignments as needed to support the department and Pathways Center.

Minimum Qualifications

  • Bachelor's degree in Human Resources, Business Administration, Management, or a closely related field; and
  • Previous Human Resources, recruiting, or related professional experience, preferably within healthcare, behavioral healthcare, human services, or another multi-site service organization.
  • Excellent written and interpersonal communication skills.
  • Ability to work effectively under pressure while managing competing priorities.
  • Demonstrated ability to work discreetly with highly confidential information.

An equivalent combination of relevant education and professional Human Resources experience may be considered in accordance with organizational requirements

Preferred Qualifications

  • Master's degree in Human Resources, Business Administration, Organizational Development, or a related field.
  • Human Resources experience within healthcare, behavioral health, intellectual/developmental disability services, addictive-disease services, or another regulated service environment.
  • Experience working with an HRIS and Applicant Tracking System.
  • Experience facilitating employee orientation or training.
  • Professional Human Resources certification such as PHR, SPHR, SHRM-CP, or SHRM-SCP.
  • Experience supporting multiple locations, departments, or operating programs.

Minimum Qualifications:

High school diploma/GED and two (2) years of job-related experience in human resources; or one (1) year of experience required at the lower level HR Spec 1 (HRP020) or position equivalent.--Note: An equivalent combination of knowledge, education, job or intern experience, training, or certifications that provides the necessary knowledge and skills to successfully perform the job at the level listed may be substituted year-over-year.
