GST051, Administrative Assistant 2 - “Mail Services Support”

Pay Grade G

Salary $39,050.00

Description of Duties:

Under general supervision, performs a wide range of office administration duties for assigned functions or program areas, duties may be complex in nature and may involve access to confidential information. May research, investigate, and/or resolve program data or issues. Drafts documentation, reports, or presentations. Represents program or unit, provides information and assistance to internal and external customers.

Job Specific Duties:

Performs and oversees the proper review, sorting and delivery of all incoming mail and packages. Performs and oversees the preparation and processing of outgoing mail and packages for delivery or shipment, including activities such as sealing, sorting, weighing and/or applying proper postage rates and classification. Maintains mail services records for the unit. Operates highly technical machinery used for folding and inserting documents into envelopes for high volume and mass mail outs. Verifies all invoices and billing related to mailroom processes Maintains adequate inventory levels of supplies for the mailroom and the department/division/facility. Assists supervisor with maintaining mail services operations and the planning/organization of the unit's work.

MINIMUM QUALIFICATIONS

The selected candidate must meet the advertised minimum qualifications to include State Entry Qualifications as well as Agency Specific Minimum Qualifications

STATE ENTRY QUALIFICATIONS:

  • High school diploma/GED and three (3) years of job-related experience;
  • OR one (1) year of experience required at the lower level Admin Assistant 1 (GST050) or position equivalent.

AGENCY MINIMUM QUALIFICATIONS:

  • Experience performing clerical tasks of routine difficulty
  • Ability to learn from written materials, technical documents and/or reports associated with the area of assignment such as construction plans, standard specifications, standard operating procedures, etc., by determining the main idea or essential message
  • Effectively communicates with clients and customers verbally or in writing
  • Ability to perform basic mathematical computations to solve practical problems
  • Ability to perform repetitive tasks effectively over a long period of time (data entry, proof reading contract documents and reviewing pay documents)
  • Sees detail in words and numbers quickly and accurately
  • Maintains a positive view of self and displays a professional image
  • Demonstrates good interpersonal skills
  • Proficient with computer applications such as Microsoft Office (Word, Excel, Outlook, Access)
  • Ability to regularly lift 35 pounds
  • Ability to occasionally lift up to 50 pounds
  • Committed to providing quality customer service

AGENCY PREFERRED QUALIFICATIONS:

  • Four or more years of experience in the area of assignment
  • Knowledge of postal regulations
  • Related experience in a similar government environment or corporate office

Good Employment Standing:

In accordance with the Interview and Selection Process (ISP), an applicant must have no active disciplinary actions to be in good employment standing. Actions that may disqualify an applicant include letters of reprimand (active for 12 months after issuance date); suspension without pay or disciplinary demotion (active for 12 months from the effective date); Performance Improvement Plans (PIP) and Leave Restriction Plans (active until 12 months after the date of conclusion). In addition, an employee must have an overall ePerformance rating score of three (3) or higher on their most current evaluation. Please note that Memorandums of Concern are not considered disqualifying factors. Human Resources may remove any employee from consideration for selection who is pending a disciplinary action; however, if the action is resolved in the employee’s favor, he or she will be allowed to compete.
