POSITION OVERVIEW:
Under limited supervision, establishes or updates operating procedures, practices, and guidelines and communicates them to program or department personnel.
Responsible for assembling project team, assigning individual responsibilities, identifying appropriate resources needed, and developing a schedule to ensure timely completion of projects.
DUTIES & RESPONSIBILITIES:
Monitors and controls project timelines and budgets. Communicates with managerial staff as needed. Researches and recommends evidence-based strategies and best practices. Plans and manages project management activities for a program or department that have a significant impact on the agency. Prepares documents, forms, materials, and presentations using the Microsoft Office Suite and Adobe Creative Suite. Additionally, the coordinator will perform a variety of general administrative support functions, including specialized clerical tasks such as supporting the operations of the Georgia Structural Pest Control Commission (e.g., taking meeting minutes, preparing annual reports, managing in-person meeting logistics) Coordinating SPD open records request responses; and editing and publishing the division newsletter using MailChimp. This includes completing tasks associated with licensure, personnel, purchasing, records management, inventory, and similar functions. Communicates technical information, including rules, regulations, laws, and procedures, via phone, in-person, and in writing to address questions or concerns and provide guidance to the industry and the public. Conduct other activities pertaining to the functions of the department as assigned by division management (e.g., coordinating emergency management reporting when the division’s regulated community is impacted).
REQUIREMENTS:
Possess knowledge, skills, and abilities in the following areas:
One year of administrative assistance experience & two years of consulting or project management experience Strong group facilitation and project coordination skills Working knowledge of Microsoft Office Suite and software adaptability Demonstrate team orientation aptitude and flexibility Exceptional skills related to oral/written, interpersonal, and presentation abilities Effective time management, multitasking, and organizational skills Ability to work independently and exercise initiative.
PHYSICAL REQUIREMENTS:
Maintain a Georgia driver’s license Travel overnight Be able to lift to 25 pounds Standing, squatting, kneeling, and driving for short periods of time.
PREFERRED QUALIFICATIONS:
Bachelor’s Degree; three (3) years of administrative support experience within a state/federal government agency Two (2) years of experience in a support role for a senior member of management One two (2) years of experience in a consulting and/or project coordination role Familiarity with pesticides Pest management and/or entomology Successful experience providing administrative support for a unit that included dealing with issues, situations, and documents of a sensitive and/or confidential nature Experience making travel arrangements Experience preparing meeting agendas and meeting planning Effective verbal, listening, and communication skills Ability to pay attention to detail and perform at a high level of accuracy Excellent organization, multitasking, and project supervision skills.
