Job Summary
Under supervision of the PMO Director, the successful candidate will be responsible for coordinating, tracking, and documenting facility, repair, renovation, maintenance, and capital improvement projects, and monitoring project schedules, budgets, milestones, outstanding issues, and required agency actions. Serves as a coordination point between DJJ Engineering, facility leadership, internal agency departments, and external project partners, including the Georgia State Financing and Investment Commission (GSFIC). The position does not independently make project, engineering, contractual, financial, procurement, or construction decisions.
Primary Duties and Responsibilities
• Maintains project schedules, milestone trackers, project files, meeting notes, action-item logs, and other project documentation.
• Monitors project budgets, expenditures, commitments, funding balances, and other financial information and reports potential concerns.
• Coordinates meetings, site visits, facility access, documentation, and communications.
• Follows up with responsible parties on outstanding project activities.
• Collects project information from facilities, contractors, consultants, GSFIC, and internal DJJ departments for review by project sponsor.
• Assists with preparation of project scopes, cost information, capital requests, Major Repair and Renovation requests, project summaries, and supporting documentation.
• Participates in project meetings and site visits and documents project status, issues, decisions, and required follow-up.
• Identifies and communicates potential delays, budget concerns, operational conflicts, or unresolved issues.
• Coordinates with DJJ Finance, Budget, Procurement, Information Technology, Security, facility leadership, and other program areas as directed.
• Tracks punch-list items, warranties, project closeout documentation, and outstanding deficiencies and reports unresolved matters to project sponsor.
• Assists with compiling project information requested by DJJ leadership, OPB, GSFIC, and other state entities.
• Performs other project coordination and administrative duties consistent with the assigned DOAS classification.
GSFIC Relationship and Role Boundaries
For GSFIC-administered projects, the Associate Project Manager serves as a DJJ project liaison and coordinator, working closely with DJJ Engineering. The employee may attend meetings, gather information, track action items, coordinate DJJ responses, and communicate operational requirements.
The employee does not direct GSFIC project managers, architects, engineers, consultants, or contractors and does not exercise contractual authority or independently approve project scope, schedules, designs, payments, change orders, or construction decisions. Decision-Making Authority The position has no independent approval or contracting authority. The Associate Project Manager
gathers information, coordinates activities, monitors project status, identifies issues, and provides recommendations or information for management review. Decisions involving project scope, funding, contracts, procurement, design, construction, schedules, or significant operational matters are referred to the appropriate authorized DJJ official.
Minimum Qualifications:
• High school diploma or GED AND one year of professional level experience related to the area of assignment.
Preferred Qualifications
• Two years of experience supporting or coordinating engineering, construction, facilities, maintenance, renovation, or capital projects.
• Experience tracking multiple projects, schedules, budgets, and action items.
• Ability to read and understand basic project schedules, construction documents, cost estimates, and project reports.
• Strong interpersonal skills
• Excellent written and verbal communication skills, including active listening and the ability to clearly convey information to others.
• Ability to analyze, identify, and resolve issues or problems that may arise in a project.
• Ability to adapt to changing project requirements and priorities.
• Attention to detail and desire for accuracy.
• Experience working in state government or another public-sector environment preferred.
• Experience working with architects, engineers, contractors, or construction/project management organizations preferred.
• Proficiency with Microsoft Excel, Word, Outlook, and Asana or Microsoft Project.
• Ability to travel to DJJ facilities throughout Georgia as required.
